Completing Your Contact Hour Rosters

Printed information on your roster reflects what was entered into our computer system about your class. Please review your roster carefully and notify the Continuing Education Registration Area (via e-mail) promptly if there are any items that need revision such as:

- class name/title
- begin or end hourss
- instructor name
- begin or end date
- building and/or room number
- course code or section
If classes are canceled, you should contact the Continuing Education Registration Office at extension 2635.

 
Basic criteria to include students in the FTE calculation
Student is registered (enrolled), paid (or waived), and attended at least one class prior to or on the 10% date of your class. Please note, if the student is not printed on your section roster, they should not be included in the FTE count on your roster.

Increments are: 15 min = .25, 30 min = .5, 45 min = .75.

When reporting to the nearest increment, do not round up (however we can round to the nearest one-fourth) for example: 1:35 = 1:30, 1:40 = 1:45
 
When turning in your roster, make sure the instructor’s signature and supervisor’s signature is on the roster. Also indicate if full time or part time, etc.

A section roster (printed from SROS) must be turned in with each roster.

A completed reciept roster/SMV (with the signature of each students who attended class) must be turned in with your class roster. Additional forms are available by following this link.

An accurate contract for each paid instructor must be turned in with the final roster packet. Amended contracts must have supervisors approval.

Turn in the top, white copy of your roster (ONLY). Remove all perforations and keep the other copies for your department.

When utilizing a substitute, include their sub roster and contract. Write in the sub’s name on the bottom of the excel worksheet along with the numbers of hours they taught.

All grades and contact hours (if applicable) should be entered into Colleague as soon as possible…this helps to facilitate accurate reports.

Please note, these instructions may change and this information will be updated. Coordinators strive to make sure everyone involved with pre-auditing attendance rosters are aware of updated procedures, however, if you have any questions after speaking with your supervisor, please give us a call. Maximizing your FTE is as easy as A, B, C....
A. Make sure your students are registered and your registration forms are processed in a timely manner.
B. Be diligent in the way you process and turn in your paperwork to the Auditing Office on or before due dates.
C. If you Consistently do A and B you will see your FTE grow.
