Federal Work Study Program

What is Federal Work-Study and How May Students Apply?
Federal Work-Study (FWS) is offered as a part of a student's total financial aid package to assist in meeting the cost of educational expenses while in attendance at Guilford Technical Community College (GTCC). Funding for Work-Study is allocated through Title IV funds from the Federal government. A student must complete the Free Application for Federal Student Aid (FAFSA) to determine eligibility to receive funding. Upon receipt of an individual’s notice of aid eligibility from GTCC’S Financial Aid Office (FAO), a student may come by the FAO to request a Work-Study application. A Financial Aid administrator will determine the student’s eligibility to submit the FWS application.

The Advantages of a Student Employee
Work-Study provides many advantages for the student and for the employer. Flexibility of scheduling around class hours is one of the top advantages for students. The program also provides valuable work experience for a student’s future resume'. Students generally provide much needed assistance to supervisors, and make valuable contributions to the college community.
 
When and How Much Can Student Employees Work?
Students may work a varied number of hours per week, up to the twenty hours per week maximum, depending on the individual’s dollar amount awarded by the Financial Aid Office for the academic year. The class schedule of the student and the needs of the supervisor determine the workload for student employees.

Students are awarded for one full school year. The employment period may begin July 1, and ends June 30, the last day of the fiscal year. The supervisor and the student employee determine if the student will work during semester breaks and vacations. Students should plan work schedules to allow sufficient time for studying and for class projects. (Students may not do course work during employment hours.) The schedule may be adjusted, for example, during "peak times" and in consideration of the needs of the job assignment.
 
Payroll Information
Student employees are paid by the 20th of each month. The current pay rate is $8.50 per hour. Payroll information must be submitted to the Financial Aid Office prior to employment and must be cleared by Human Resources and by the Finance Department. Time sheets must be received in the Financial Aid Office by the close of the second working day that follows the end of each month.
 
Responsibilities of Student Employees
Submit the appropriate employment documents and paperwork to the Financial Aid Office prior to beginning the assignment.

Maintain an accurate time sheet and have it verified and signed by the supervisor who must turn it in to the Financial Aid Office by the second working day that follows the end of the month.

Notify your current supervisor and the Work-Study administrator if you stop working or if you stop attending college.

Apply for financial aid and meet all priority deadlines.

Take a fifteen (15) minute break after each four (4) consecutive hours of work as prescribed by law.

Track your earnings so that you do not exceed awarded funds.
 
Responsibilities of Supervisors
Coordinate the work schedule with the employee.

Certify co-op and enrollment status; verify, sign and submit time sheets to the Financial Aid Office no later than the second working day of the month after the month worked.

Track the student's total wages for the academic year to ensure that the student does not exceed her/his total award.

Monitor the quality of the student's work.

Termination
Student Employment may be terminated for unsatisfactory performance, for habitual tardiness, for chronic absenteeism, for failure to follow the rules set by the office or the department where employed, or for any other reason deemed appropriate by the college.
