Equipment Purchase/Installation Policy

GTCC is growing and the need for improved instructional facilities, replacement of outdated equipment and the acquisition of new equipment is a continuing challenge for the faculty and staff. Setting guidelines for these changes is one way to smooth out the rough spots in the procedure.

This document outlines the procedures required to be followed when equipment is requested and requires any of the following:

Modification to structure to facilitate installation.
Electrical power
Plumbing (Water & sewer)
Fuel connection (Gas)
Pneumatics (Air)

All Requests plus Equipment Documentation for New, Transferred or Donated equipment must be submitted through Facilities, for review and approval, PRIOR to being requested and/or received by the College. This insures the equipment will be ordered correctly. (Matches available resources) If the equipment cannot utilize the available resources, or resources are not available, alternates should be considered. If equipment specifications and resources cannot be readily reconciled, Facilities reserves the option to recommend disapproval of said acquisition.

The cost of installing acquired equipment will be borne by the procuring party. An account number must be made available to Facilities for the purchase of auxiliary equipment and supplies. (This applies only if GTCC staff will be doing the installation.) Installation of equipment is a time consuming process. Requester and Facilities must make a joint evaluation of the time needed to install any equipment.

Failure to comply with the above requirements will result in additional costs and delays at the expense of the requester.
 
Examples of questions that will be asked:

Will the structure of the building/room need to be modified to accommodate the equipment? (Will doors and walls need to be removed and replaced?)
Does the power available meet the requirements of the equipment and will/can additional power be provided?
How will the operation of the equipment affect surrounding areas?
Does the equipment require water, gas or air and are they readily available?
Be prepared to answer these, and other questions before submitting your request!
