| FERPA Definition of "Educational Records" |
Those records directly related to a student.
Those records maintained by an educational agency or institution or by a party acting for the agency or institution.
This includes any information recorded in any way, including, but not limited to, handwriting, print, tape, film, microfilm, microfiche, and computer, maintained by GTCC or an agent of GTCC, which is directly related to the student. |

| Exceptions To "Educational Records" |
Sole possession records (a personal record kept by educational personnel that are kept in the sole possession of the maker of the record, and are not accessible or revealed to any other person except a temporary substitute for the maker of the record)
Records created and maintained by a law enforcement unit for a law enforcement purpose
Employment records unless contingent upon attendance)
Medical records made and maintained in connection with treatment and disclosed only to individuals providing treatment; and records that only contain information about an individual after he or she is no longer a student at that institution (i.e, alumni records). |

| Repository of Student Records |
Admissions and Records is the repository of student records. Student records date back to the late 50’s when GTCC began as Guilford Industrial Education Center. Records of matriculated curriculum students and records of adult high school and GED graduates are kept in a secured vault area accessible only to designated staff.
Other school officials (persons within the agency or institution determined to have legitimate educational interests) are asked to seek assistance from the Registrar, or a designated records clerk when reviewing a student’s record. Records may not be checked out of the secured area. A station is provided for records review. No information will be released to unauthorized parties without prior written permission from the student. |
